How to Calculate Hours Worked — Step by Step

The formula is the same everywhere: hours worked = (end time − start time) − break time.

Record your clock-in time — for example 9:00 AM.
Record your clock-out time — for example 5:30 PM.
Subtract start from end: 5:30 PM − 9:00 AM = 8 hours 30 minutes (8.5 hours).
Subtract unpaid breaks: 8.5 − 1.0 (a 1-hour lunch) = 7.5 net work hours.

How to Calculate Hours Worked in Excel

A2 = 9:00 AM, B2 = 5:00 PM, C2 = 0:30 (break)
= (B2 - A2 - C2) * 24        → 7.5  (decimal hours)
= TEXT(B2 - A2 - C2, "h:mm")  → 7:30  (hours and minutes)

Tip: format the result cell as Number for decimal hours, or keep the Time format for h:mm. Excel stores time as a fraction of a day, so multiplying by 24 converts it to hours.
